Lead follow-up that does not fade out

Every lead gets the next note drafted in your voice at day 3, day 10 and a month, and the sequence stops the moment they reply.

Fourteen. Open your Gmail sent folder, filter to last quarter, and count the threads where you sent one reply to a new lead and nothing after it. Fourteen is a number I have seen. It is rarely under ten. The lead asked a question, you answered, they did not come back, and the thread dropped below the fold. Conversations that might have gone somewhere, each ended by silence on your side rather than a no on theirs.

That is how most lead follow-up fails. Nobody decides to stop. The second email just never gets written, because the day fills up with the clients who already said yes.

The version that does not fade works like this. A lead comes in, from the website form, a LinkedIn message you forward, or an email to hello@. It is logged in one place, HubSpot or Pipedrive or a Google Sheet, with the date and what they asked. The first reply is yours, written by you or drafted for you to approve. After that, the system watches the thread. If there is no reply in three working days, it drafts a short follow-up in your voice and puts it in your drafts folder. You glance at it in the morning and send it or bin it. If there is still nothing after another week, a different kind of note goes in the drafts, shorter, with one question. After a month, a last one that makes it easy to say not now.

Every follow-up is written from the thread, so it refers to what they actually asked about, and it is written the way you write, from a sample of your own sent mail. No template with a first name dropped in.

The sequence stops the moment they reply, whatever they say. Yes, no or later all count as an answer, and later gets a date on it so it comes back round when they said.

Most mornings the drafts folder has two or three follow-ups waiting. Sending them takes four minutes. This is the kind of thing we build. It runs in your own accounts. How many of your threads from September ended on your turn?
