Compliance dates tracked per person, with reminders

DBS, right-to-work, training and insurance expiry per person, read from the documents and chased at 60 and 14 days.

Google Sheets, one tab per person, is where this usually lives. DBS date, right-to-work check, manual handling certificate, the date their public liability insurance renews if they are self-employed. Forty rows, twelve columns, and someone has to remember to look at it.

Nobody does, until a client asks for proof of a training certificate and it turns out it expired in March.

The automated version keeps the same sheet, or moves it to a small table, and does three jobs around it. Every document that comes in by email or upload is read and the expiry date is written to the right cell, with the file saved in a Google Drive folder named after the person. Every morning at 7 it scans the dates. Anything within 60 days gets a reminder to the person, with the date and where to renew. Anything within 14 days copies the manager. Anything past the date is marked red and that person drops off the list the rota offers shifts to, until the new document arrives.

When a client or an auditor asks, the per-person record is one link. Every document, every date, when it was checked and by what.

The sheet with forty rows is still there. It just gets looked at by something that does not forget. This is the kind of thing we build. It runs in your own accounts. When did someone last open yours?
