Catching the member who stopped coming

Attendance is checked every night against each person's own normal. The drop gets a personal message you send yourself.

A gym owner knows which members are drifting. He can feel it. The woman who was in every Tuesday and Thursday for four months and has now done one session in three weeks. He means to message her. He does not, because there are 340 members and it is 8pm and the thought arrives while he is mopping.

The check-in data is in the booking system already. Every attendance, every date. The system looks at it each night and compares the last three weeks to the three months before, per person. Someone who went from eight visits a month to two gets flagged. Someone who always came twice a month and still does is left alone. The flag is a drop against their own normal, so the twice-a-month person never gets a worried message she did not need.

What goes out is a short personal message in the owner's voice, from his own WhatsApp or email, with her name and the class she used to do. One message to one person. The draft is written by the system and lands in his queue in the morning with the attendance numbers next to it. He reads it, changes a word if he wants, and sends. Most days that is four or five messages and takes him ten minutes with coffee.

Cancellations are a separate list. When someone ends a membership, the system waits six weeks, then drafts a win-back. Something about what has changed since they left, a new class or a new time, and a plain offer to come back for a session. It never goes without his yes, because he knows who left angry and who left because they moved to Leeds.

On 340 members the nightly check flags four or five on a normal day. That is twenty-odd messages a month, each one to someone who used to come twice a week and has not been seen since the clocks changed.

This is the kind of thing we build. It runs in your own booking system and your own accounts.
