ANDLANE v2.1

↳ documents · service

PDF, invoice & document data extraction — pulled, parsed, posted.

Stop retyping invoices, contracts and forms. We pull the data automatically — into Xero, your CRM, or a spreadsheet — with a draft entry for your approval.

Why automate this, exactly?

Manual data entry from PDFs, scanned receipts, supplier invoices, signed contracts and customer forms is one of the most expensive hidden costs in any small business. Typical loss is 4 to 12 hours per week per person who handles paperwork — and it's exactly the work nobody wants to do. Andlane builds AI-powered document extraction pipelines that read the documents, pull the relevant fields, and push them straight into your accounting software, CRM, or spreadsheets — with confidence scores so you only check the ones that matter. We handle structured PDFs (invoices, statements, forms) and unstructured ones (contracts, handwritten notes, scanned receipts) using modern AI models that have been good enough for production small-business use since 2024. Most clients see 90 percent-plus extraction accuracy after a one-week tuning period on their specific suppliers and document formats.

Four pieces that work together.

Each one is useful on its own. Stacked, they remove a category of work from your week entirely.

build
01 / piece

Supplier invoice → Xero / QuickBooks

Forwarded PDF gets line items extracted, VAT calculated, supplier matched against your records, and pushed as a draft entry in your accounting software. You approve in one click.

build
02 / piece

Contract → CRM

Signed contract PDFs dropped in a folder get parsed for key terms — parties, dates, amounts, renewal clauses, termination notice — and the data is pushed to your CRM as structured fields.

build
03 / piece

Receipt photo → expenses

Snap a receipt on your phone or forward an email confirmation. It lands in your expense system fully populated with vendor, amount, date, category, and VAT. Works with Expensify, Dext, or a custom Google Sheet.

build
04 / piece

Form data → database

Paper or PDF forms scanned and parsed into a database row, ready to action. We handle handwritten signatures, ticked boxes, and free-text fields with high reliability.

What it looks like in a real business.

A real-world scenario ↘

An accountant we work with — Marcus, runs a small London bookkeeping practice — was retyping supplier invoices, receipts and bank statements into Xero for six clients. Hours every week. We built a flow: clients forward PDFs to a dedicated email address, AI extracts the line items, our system matches them against the client's existing Xero accounts, and the data lands as a draft journal entry. Marcus reviews and approves in batches. What used to be six hours a week is now twenty minutes. He took on two extra clients with the time he got back.

Plays nice with the tools you already use.

If yours isn't on this list, ask — we can almost certainly work with it.

About document & data extraction.

How accurate is the extraction?
After a tuning period (typically one week, where the system learns your specific suppliers and document formats), accuracy is usually 92 to 98 percent for structured documents like invoices. For unstructured documents like contracts, accuracy depends on how clean and consistent the source is. The system always provides a confidence score so low-confidence items get human review.
What document formats do you support?
PDFs (digital or scanned), JPG/PNG photos, Word docs, Excel sheets, and handwritten forms. For scanned and photographed documents we use OCR plus AI vision models that handle skew, shadows, and poor lighting better than older OCR tools.
Can it handle multiple languages?
Yes. UK English is the default but the underlying models handle most European languages — French, German, Dutch, Spanish, Italian — and many others. Useful if you take supplier invoices from EU vendors.
How is the data secured?
Documents are processed in transit and at rest with encryption. We can self-host the extraction pipeline on your own infrastructure if compliance requires it. For most small businesses we use enterprise-grade cloud providers (AWS, Google Cloud, Anthropic, OpenAI) under DPAs.
What's the ROI math look like?
Typical project: £1,400 build, saves 6 hours per week. At a £40/hour cost of your time, that's £240/week recovered — or roughly £12,000/year. Payback period is usually 4 to 8 weeks.
