Renewals and compliance dates in one view

Tenancy ends, gas safety, EICR, EPC and deposit deadlines per property, with the booking requests and notices sent on the day.

Ninety properties under management means roughly 450 dates to keep. Tenancy end, gas safety, EICR, EPC, deposit protection, plus the break clause and the rent review if the tenancy has one. Most agents hold these in a spreadsheet someone built in 2019 and a set of Outlook reminders that fire for the person who left.

The spreadsheet is fine. Nobody looks at it on the right day.

The system holds the same dates per property and works forward from them. When a gas safety is 60 days out, the engineer you use gets a booking request with the tenant's contact details and your preferred weeks. When a tenancy has four months left, the landlord is asked whether they want to renew, and the tenant is asked two weeks later. An EPC with 90 days left gets a reminder to the property manager with the current rating on it.

When the certificate comes back as a PDF, it is read, the new expiry is written into the record and the next reminder is set from it. Nobody retypes a date.

Everything sits in one view, by property, with each date and how far away it is. Red means inside 30 days. If you already run Fixflo or Arthur, the view reads from that and you keep your system.

We build it to send the notices on the day, from your address, with your wording. The Section 21 is still a human decision. The reminder that it is coming up is not.
